This section covers the advantages of Advanced Stock Management. Please note, that the stock management system was rebuilt at PrestaShop 1.7, so for a newer version, this option is not available in Store Manager as well.

This application allows sellers (managers) to distinguish their real reserves from available ones. This feature is compatible with the multi-store function and helps:

  • Manage inventory and supervise your real stocks, their numbers and values

  • Manage inventory for delivery

  • Keep the history of the inventory’s movement (Stock Movement)

  • Manage the simplified version of warehouse etc.

Warehouses

You can have one or more warehouses at your store. To add warehouses to Store Manager, go to "Stock" section, choose "Warehouses" option and press the relevant button in the toolbar:

In the form, as shown on the illustration below, type basic information about warehouse: its name, reference, location, address details, currency (UAH, euro, dollar).

When the necessary data is successfully specified, be sure to click the [OK] button.

Once the warehouse is created, you can fill it with the necessary products.

Go to "Product Page" and choose products, which are available in stock. From the lower menu select "Warehouses" field and assign these products to the necessary ones. If the products have its own attributes, such as color, size etc., you can assign for each color and size value to the certain warehouse separately .

Press [Apply Changes] button to save your actions.

Section "Stock Management" makes possible to set required number of units in stocks. In order to perform this, find necessary one from the product list and double clicki on it to open “Edit Stock Management” form.

Specify quantity, which will be added to the selected product in stock; choose warehouses, where this quantity will be available, type a price for a new product’s batch and select label by which these changes are identified:

  • As demand growth (increase)

  • For adjusting of inventories (regulation following an inventory of stock)

  • As they (stocks) become available (supply order).

If the number of products in stock is more than zero, you can use the arrows in the top menu:

- To add a number of products in stock

- To reduce the existing number of goods in stock.

If you have to subtract the amount of a particular product, select the relevant arrow in the menu. Click reduction mode to get the following window:

  1. Enter the value of quantity reduction for this product.

  2. Select warehouse, in which the number of product is decreased.

  3. Choose label of the proposed three options:

          • As decreasing demand

          • For regulating warehouse stocks (regulation following an inventory of stock)- as customer order.

  4. Press [OK] button.

[Transfer] option calls the form, by filling which you can send certain units of products from one warehouse to another:

Hit the triangle buttons opposite each active field to select the necessary details from the drop-down list, specify the units number you want to be transferred, select relevant check-boxes to set product available for sale for outgoing and incoming warehouses.

Do not forget to indicate the source and destination of warehouses before pressing the [OK] button.

Take into account the "Usable for sale" check-box. It means the specified amount of item will be available for ordering and will influence the total number of product at the store.

If you leave this box unselected, current units cannot be used for purchasing and do not affect the general product's quantity (will be considered as a reserve).

"Stock Movement" section reflects movement of goods in warehouses - increasing or decreasing quantity, date of changes, a price for each delivered units (or dropped out units) and so on.

If the recent changes are not reflected in this section, click the [Refresh] button to update the "Stock Movement" table.

The filter allows to view the movement of product stock at one particular warehouse or at all warehouses at once. To filter out goods, select the relevant filter parameter from the drop-down.

To assign products to the relevant warehouse, move to the lower menu in Products page, where you can find the necessary position.

On the right pane in the "Assign" column select the warehouse you want the product to be associated with, and do not forget to press the [Apply Changes] button to save your assignment.

To link the quantity of product with the stock in warehouses to which it has been assigned choose the "Quantities" tab from the lower menu and select the check-box, like shown in the illustration below:

Thereby, the base number of the product will be directly dependent on its quantity in the certain stocks (warehouses).

If you make the product(s) to belong to the necessary warehouse, its quantity will be automatically related to the Store Management and became "Out of Stock".

For example, the product "Printed Dress" in the test store has 17 units available at the current time.

Once the changes are done in the Quantity tab in the lower grid, save them by pressing the option in the toolbar.

As we can see, the quantity of the current product has been automatically updated to zero.

This doesn't mean the product is not available, and to make it in stock again you need to fill in the quantity within the warehouse(s) where the item belongs to.

Please note, the physical availability of the product cannot be added to the warehouse stock of this item and will be skipped, only the number of products in the warehouse is taken into account.

The second condition, which can be selectedd, allows to take into account the physical quantity of product specified manually .

For example, let's take the product named "Vintage Wedding Dress" with the advanced stock management enabled and the first variant selected (see an illustration above).

In the stock management section specify the quantity you want to add to each warehouse. We have two warehouses created - Warehouse-top and Reservation.

Use the "Increase" option to indicate the number of units in the selected stock and press [OK] button to update:

Perform the same for the second warehouse - specify the quantity that will be available to purchase:

Now you get the following results on both warehouses positions:

Once, the current product is selected during ordering in POS section of Store Manager, choose the proper variant according to the warehouse availability:

The quantity of a product will be taken from the usable amount, available in the warehouse, which has been chosen.

Please note, the quantity of a product will be changed after ordering in the Advanced Stock Management only if the order status is "Delivered" or "Shipped".

Export

If you want to export warehouse quantity of products among the other data to a file, choose the corresponding fields and drop it from the let to the right on the fields selection step of export:

You can use the relevant "Group of Fields" to facilitate the process. It is available in the upper part of the window:

The fields will be automatically transferred to the right side:

Take a note:

"Warehouse Location" field is available, starting from the last program's update (ver. 2.44.0.:1971) among the other fields related to the Warehouse information and can be linked on the Assignment step of the export process.

Import

Link the fields in your database with the corresponding columns from a file, which is related to the warehouses on the Assignment step of Import :

There is one more important field on the "Import Options" step related to warehouse quantity update during import - "Increment existing warehouse stock by quantity specified in the import file". This means that the number of products does not directly depend on the actual (physical) number at the store (field is not selected):

Then you can make the increasing availability of the product in storage to the amount specified in the file.
